Within Inventions, financial data is organized into Accounts.
Each Account can contain line items, which are individual pieces of data that provide details about payments, including:
- Date of transaction
- Type of payment made
- Any additional information that corresponds to the university ERP system
Accounts may contain multiple line item Types, and the Types can vary depending on the Account-type chosen.
- For example, one account may contain three line items, each with different line item Types.
Accounts of similar Types can be added together to form aggregate numbers across multiple areas of the system.
Viewing a List of Accounts
- To view a list of Accounts in Inventions, click on the Finances tab in the navigation header. From the drop-down menu, click on Accounts.
- The list of Accounts will display.

- Agreements: Start with the letter A.
- Patents: Start with the letter P.
- Technologies: Start with the letter T.
- Account Types: These may vary from Account to Account
- Account Code: Click to view detailed summary of Account.
- Totals: View total Invoice amount (Total Inv.), Total Journaled Amount (Total Jour.), and Variance associated with each account in the system.
Viewing Account Details
Details about each account can be found by clicking on an Account link.
- Account Code: This can be customized by organization
- Account External Code: Links to an account that is external to the system. In the case of expenses, this may be the matter number referenced by the law firm.
- Type: Debit or credit that typically corresponds to an account in the general ledger.
- Status: Active, Deleted, Closed, Unconfirmed
- Total Amount: Sum of all line items in this account.
- Internal ID: Unique identifier for the account, can also be seen in the URL.
