Agreements records can be viewed and linked directly on the Related Records tabs of Sponsored Projects Awards and Projects. This integration streamlines project management by enabling users to search and filter based on Sponsored Projects data, easily link and manage Agreements within award and/or project records, and view critical details without leaving the Sponsored Projects module.
In order to view the linked agreements on an SP award or project, you must have at least read only access to the SP record and have one of the following roles:
- Agreements User role if Agreements provisioned on the tenant
- Inventions Administrator OR Inventions License Office Agreement Manager role if Inventions provisioned on the tenant
In order to add/remove links to agreements, or create new agreements from within the SP record, in addition to the Agreements or Inventions roles listed above, you must also have the following SP roles on the relevant Award or Project record:
- Award:
- SP Award Administrator, SP System Administrator, or SP Award Editor role
- Project:
- SP Award Administrator, SP System Administrator, or SP Award Editor role on at least one award connected to the relevant project
Key Features: Linking Agreements to Awards/Projects
Adding Agreements
- Within an Award or Project record, navigate to the Related Records tab
- Select the Add Related Record button
- In the displayed modal, select the desired radio button to either link any existing agreement or create a new agreement record
- If the existing agreement option is selected, search for the desired agreement by Agreement ID, Agreement Title, or Principal Investigator name in the search box and select the desired result
- If the new agreement option is selected, populate the required fields:
- Agreement Title
- Agreement Type
- Admin Unit
- Agreement Status
- Once the necessary information has been entered, select the Add Link button to create the link to the existing or new agreement record. Select Cancel or the X button to return to the Related Records tab without adding a link to an agreement.
Viewing Linked Agreements
Once an agreement is linked, it will appear in the Agreements table on the Related Records tab with the following columns:
- Agreement ID (hyperlinked to open the agreement record in a new tab)
- Agreement Title
- Agreement Type
- Agreement Status
- Execution Date
- Principal Investigator
- Admin Unit
Removing Linked Projects
- Select the trash icon in the far right column of the desired agreement’s row
- Select the Remove Link button to confirm the action. Select the Cancel button to stop the link removal and return back to the Related Records tab.
Key Features: Viewing Related Agreement Information on the Awards Dashboard
- View linked agreement record information on the award dashboard by adding the following columns:
- Related Agreement ID
- Related Agreement Status
- Use the dashboard search to filter results by Related Agreement ID on the Awards Dashboard
- Current limitation: The full agreement ID value must be provided in order to return results
