Why doesn't the person I am looking for show up in the Add Key Person to Proposal box?
When adding a Key Person to the proposal, click Manage Key Persons, and then in the pop-up window, click Add Key Person.
Sometimes, however, the person you are looking may not appear in the list, even after using "Show All" or the "Search" option.
Barring spelling errors in the search, the four (4) most common reasons for a person to not appear in the Principal Investigator list is:
- The person does not have a Professional Profile in Cayuse Proposals,
- The person has a Professional Profile but no Institution Association,
- The person does not have Principal Investigator checked in the eRA Roles on their Professional Profile, OR
- The person has already been added to your proposal.
No Professional Profile Set Up
You can verify that the person has a Professional Profile in Cayuse Proposals by looking for the person under the People tab. "No people" in the Search Results means that that person has not been setup. (You may need to have someone set this person up for you.)
No Institution Association
If the person has a Professional Profile, please ensure they have an Institutional Association or contact your Administrator to have one added.
No eRA Role for Principal Investigator
If the person has an Institutional Association, you need to make certain that they have an eRA Role of Principal Investigator. If a person does not have the Principal Investigator box checked, that person will not appear any drop-down windows where a PD/PI or Key Person is selected.
Person Already Added to Proposal
A person can only be listed once on a proposal, subaward, or MP component as a Key Person. Check the RR Key Persons page or the RR Budget to see how the person is currently listed.
If you do not find the person, you should check to see if the person has been used, but their Information was overwritten by someone else to take the place of someone who did not already have a Professional Profile. The easiest way to do this is to look up each Key Person under the People tab to see if they exist. When you find a person that does not have a Professional Profile, but they are included in the budget, you are looking at a person-pretending-to-be-another-person situation. Here's what probably happened:
Someone working on the proposal went to add a Key Person, only to find that they did not exist. Instead of creating (or having someone with the correct permissions create a Professional Profile for the person) they added someone else to the proposal who was listed in the Add Key Person to Proposal screen and then manually changed all of their data on the RR Key Persons page, including their name, position/title, department, etc.
The best way to fix this, of course, is to create a Professional Profile for the person who does not have one and then add them to the proposal. For the person who was manually changed, use the auto-fill function on the Manage Key Person screen to pull the information from their Professional Profile to overwrite the manually entered Information.
NOTE: Don't forget to update their budget information if they have already been included.
