When researchers submit a disclosure form, it needs to be assigned for review. Assignment can happen in two different ways:
- A System Admin manually assigns a reviewer
- Auto-assignment is enabled by a System Admin and automatically routes the disclosure form to the COI Primary Reviewer
This article describes what auto-assignment is and how to enable it. Click here to learn about manually assigning reviews.
What is Auto-Assignment and how does it work?
The auto-assignment review feature allows you to set up automatic review routing of Disclosure forms to the COI Primary Reviewer by Unit. Though not required, using auto-assignment reduces the time it takes to manually assign reviewers.
When auto-assign is enabled, Disclosures are routed first to the COI Primary Reviewer of the affiliated Unit. If the COI system cannot find a COI Primary Reviewer (or secondarily a COI Reviewer) for a Unit, and a Disclosee with that Unit affiliation submits a disclosure, then the disclosure will be routed to the System Administrator.
Setting Up Auto-Assignment for Disclosure Review
In order to set up auto-assignment for disclosure review, you must first assign the COI Primary Reviewer role to a user. (Please note: The COI Primary Reviewer role is an optional role and you may choose to set up auto assignment without using this role).
If you would like to set up the COI Primary Reviewer Role, follow the steps in this article (see the section called 'Assigning Roles'). We recommended you add at least one COI Primary Reviewer role per Unit.
- From the Outside Interests dashboard, click on More, then click on Automate Approvals & Assignments.
- Under Assignments, toggle the reports you wish to auto-assign to Yes. Click Save.
Viewing Assigned Unit Reviewers
If you would like to view a list of COI Primary Reviewers by Unit, click on Check Reviewer Unit Assignment to automatically download a .csv file with the information. Please note: The report does not have the capability to display multiple COI Primary Reviewers for a single unit.
