As an Administrator, you may create a guest account for users who need access to Cayuse but do not authenticate through your institution's standard Single Sign-On (SSO) account. Examples may include external reviewers, auditors, collaborators, consultants, or other users who are not available in your institution's identity management system.
Guest Account Login Behavior
Guest accounts are intended for users who need access to Cayuse but do not authenticate through your institution's standard Single Sign-On (SSO) account.
Guest users receive an account activation or set-password email and typically use a guest or external login URL. This URL may be different from your institution's standard Cayuse login page.
Important: Guest users should use the guest or external login URL provided in their activation email or by their administrator.
Common Guest Account Issues
- Guest user did not receive the activation email.
- Guest user is using the wrong login URL.
- Guest User or Active is not set to Yes.
- The email address associated with the account is incorrect.
Guest Account Setup
- Navigate to Products > Admin. You will be routed to the People tab.
- Select New Person.
- Complete the guest user's profile information and select Save.
- Scroll to the User Account section and either:
- Select Create Account and complete the form.
- Search for and link an existing user account.
- Enter the guest user's username and email address.
- Select Link Existing User or Save & Link.
- Set Active to Yes.
- Set Guest User to Yes.
- Select Save & Link.
You can now assign roles and complete the guest user's profile.
Guest Account Activation
The guest user will receive an activation email at the email address associated with the account.
The activation email includes:
- Username
- Temporary password (the user will be prompted to change it at first login)
- A unique Guest Account URL
Important: The Guest Account URL included in the activation email may be different from your institution's standard Cayuse login URL. Guest users should use the URL provided in the activation email.
If the guest user does not receive the activation email, you can resend it by selecting Resend Activation from the User Account & Roles or Profile sections of the user's People record.
Troubleshooting Guest Login
Guest User Did Not Receive the Activation Email
Confirm the following:
- The guest user account exists.
- Guest User is set to Yes.
- Active is set to Yes.
- The email address is correct.
- The guest user has not already activated the account.
- The user has checked spam, junk, quarantine, and filtered folders.
- The user is using the guest or external login URL, not the institution's standard SSO login URL.
If the email still does not arrive, use Resend Activation if available or contact Cayuse Support and provide the username, email address, institution, and approximate time the activation email was sent.
Guest User Is Using the Wrong Login URL
Guest users may need to use a guest or external login URL instead of the institution's standard SSO login URL.
Confirm that the guest user is using the URL provided in the activation email or by the administrator.
Additional Information
Once an account is designated as a Guest Account, it cannot be converted to a non-guest account.
