Before Getting Started
It important to note that a Person Profile and User Account are separate and can be made independently active or inactive, depending on needs. While the two should be linked together, there are some distinctions between them:
-
- A Person Profile by itself does not have access to the Cayuse system. For example, a student might have a Person Profile for reporting reasons without needing access to the system.
- A User Account gives a person access to the Cayuse system, using roles and permissions.
Deactivating a Person Profile
Deactivating a Person Profile can be done using two different methods. Please note: Deactivating a Person Profile will not delete their user account (see below for more information).
#1: Deactivating from the Admin Module home page
- On the main page of the Admin Module, you will see a list of people within your database separated in two tabs: Active People and Inactive People.
- Choose a tab and search for the name of the user you would like to deactivate by scrolling or using the search bar. The search results will display based on the tab searched. If you cannot find the person in one tab, try searching within the second tab.
-
In the Profile Active column, toggle the checkmark button off.
The Person Profile is now deactivated.
#2: Deactivating from the Profile
- On the main page of the Admin Module, you will see a list of people within your database. Search for the name (scroll or use the search bar) of the user you would like to deactivate. Click on the name to open the Profile
- After the Profile page opens, toggle the Active button from Yes to No in the Profile section. Click Save.
The Person Profile is now deactivated.
Deactivating a User Account
Before you deactivate a user, it is best practice to make sure that they are not a part of any committees within the Cayuse product they use, and that they don't have any active tasks assigned to them. Some tasks need to be completed by the user, while other tasks need to be completed by the system administrator on behalf of the user.
- On the main page of the Admin Module, you will see a list of people within your database. Search for the name (scroll or use the search bar) of the user you would like to deactivate. Click on the name to open the Profile
- After the Profile page opens, select the User Account & Roles section from the left-side display menu.
- Toggle the Active button from Yes to No under the User Account section.
The User Account is now deactivated.
