The Business Office can set up services by clicking the arrow next to Services and clicking Setup Services.
On the left of the screen, you can click on the four sections within the Table of Contents: Service Item List, Service Item Package List, Service Request Types, and Service Request Group List.
For all items, you will see Add, Edit, Delete, and Find buttons at the bottom of the grid. Click Add to create a list item.
For the group sections, such as Service Type Package List and Service Request Group List, You will need to create your group via the above step, and then create items within the group by clicking on the group name, and then clicking Add beneath Items.
Service Item List
Service items are services or supplies sold to investigators. Service items could be things such as Veterinarian Time, Vet Tech Time, Surgery Room Rental, Drugs, and Special Food.
- Description: Describe the item you are selling, i.e. Tattoo.
- Item Category: Choose from Activity, Equipment & Rooms, and Supplies. Note: items in the Supplies category may be added to any Service request at the point of sale or later.
- Input Units: The unit by which you will sell the item, i.e. Hours for vet time or room rental, Each for most supplies, and Each for an activity.
- Rate: The amount charged per input unit.
- Non-billable?. Check box
- Override Description Flag: If checked, will allow the user to edit the item description at point of sale.
- Override Rate Flag: If checked, will allow the user to edit the rate at point of sale
- Item Rate Factor: Leave blank if the input units for this item (each) represent the rate (cost per unit). Use if you wish to charge a cost-by-hour activity by the minute (setting rate to 60) or sell supply at a markup (.75 for a 25% markup).
- Discontinued? Check box.
Service Item Package List
A Service Item Package List is a group or package of items that may be added to any Service Request Group. For example, you may want to create a Package List of items in a surgery pack. Service Item Package Lists are a convenient way to create a list of multiple items to be included in any Service Request Group List. For example, a Protective Clothing Group may contain the items booties, gowns and gloves. All three items available when entering charges for the Protective Clothing Request Group.
Service Request Types
Service request types classify Request Groups. As with item types, you can assign different revenue accounts or object codes to the request group type. You can also indicate which security roles may sell each type.
Service Request Group List
A Service Request Group List is a menu of items for sale. For example, you could create a Service Request Group List for exporting animals. This could include such items as Shipping Crates, Vet Tech Time (for completing health reports, or packing up the animals), Shipper Fee (such as cost to Freight Company), and Gel packs or other food items that are included in the crate.
