To begin setting up accounts, click on the arrow next to Billing and click on Setup Accounts.
Adding a New Account
At the bottom of the Account list, click Add.
Enter the required fields and click Save. The edit pane will remain open to add more accounts. Click Cancel to close the pane.
- Account: Account number. Use format specific to your institution.
- Responsible Person: Auto-fill field. Usually this is the business manager for the account with the security role of PIACCTG. This person receives copies of invoices where this account is used on transactions for an authorized user.
- Description: Optional field to describe account.
- Expires On: Expiration date of account (optional). If used, accounts expiring in the next 90 days will display in Expiring Account Alert on the dashboard.
- Billing Contact: Optional. A third person to receive invoice copies.
- Status: Inactive accounts will not be available for selection on transactions.
- Address: Optional.
Authorizing Users
Now that you have an account created, you can add authorized users to the account. Authorized users are the Principal Investigators (PI) who own protocols. Most financial transactions, i.e. animal orders and per diem charges, start with selection of a PI and a protocol. Once a PI is selected, account numbers where they are an authorized user will be available for selection.
Note: PI group members and office users are not added as authorized users on an account.
- Select an account in the account list by clicking on the row.
- Beneath Account Authorized User, click Add.
- Choose Principal Investigator for Authorized User Role.
- Type in the PI name starting with last name in the auto-fill field for authorized username and choose active for status.
- Click Save.
You may add multiple investigators as authorized users on an account, and each will receive an invoice for only his own charges against the account.
The responsible person on an account will receive all invoices. If you choose to add a billing contact to an account, they will receive all invoices
