This article explains how (and when) to use the Replacement feature for activities. This is a feature only applicable to activities with Activity Type equal to Cage, Rack, or Room.
Instructions
- In the Dictionaries > Activities, edit/add an activity with Activity Type equals Cage, Rack, or Room.
- Go to the Replacements tab.
- Add all the activities you want to replace when the viewed activity is scheduled.
When to use this feature
If you have daily activities that are not scheduled when certain non-dailies are scheduled. Typical examples:
- Do not perform Cage Checks when Cage Change Outs are scheduled
- Do not perform Sweep Floor when Mop and Sweep Floor is scheduled.
It is also dependent on how activities themselves are performed.
Customer 1: Staff checks cages while performing change-outs.
For example, one customer may have staff do Cage Checks during the Cage Change Out activity and it will also be factored into the metrics (i.e. total time to perform Cage Change Out includes times to Cage Checks). In this case, add Cage Checks as a Replacement on the Cage Change Out activity. This will have the following effect:
Example using Replacements:
- Monday:
Cage Checks - Tuesday: Cage Checks
- Wednesday: Cage Checks
- Thursday: Cage Change Out
- Friday: Cage Checks
Notice we are also replacing Spot Change Cages and Spot Change Bottles because those will not be needed when changing the cage.
Customer 2: Staff check all cages in the room before doing any change-outs.
For another customer, the Cage Checks may always be performed separately from Cage Change Outs even on Change Out Days (i.e. the total time to perform Cage Change Out does not include time to do a Cage Check). In other words, they want to staff to do Cage Checks on ALL cages in the room BEFORE doing any Cage Change Outs. This means that even on Cage Change Out days they still want to schedule Cage Checks. So they would do:
Example not needing Replacements:
- Monday: Cage Checks
- Tuesday: Cage Checks
- Wednesday: Cage Checks
- Thursday: Cage Checks, Cage Change Out
- Friday: Cage Checks
Notice we are not replacing the Cage Check activity in this example because the Cage Change Out activity does not factor in the cage check for these customers.
We still are replacing Spot Change Cages and Spot Change Bottles because those will not be needed when changing the cage.
