The information for each grant is stored within several tabs that contain unique information for each grant. The various tabs are described in this article.

How to Enter a Grant
Begin Grant data entry from the Grant module's File menu:

Click File/Grant. The Grant Data Entry screen appears. You will enter unique identifying information, and then enter additional details within each tab.
- Enter unique identifying information for the grant in the portion of the screen above the tabs. (Learn more about the relevant fields and buttons below.)
- Click the General tab to select and enter appropriate details. (Learn more about the relevant fields and buttons below.)
- Click the Other Support tab to select and enter appropriate details. (Learn more about the relevant fields and buttons below.)
- Click the Other Years tab to select and enter appropriate details. (Learn more about the relevant fields and buttons below.)
- Click the Department Allocation tab to select and enter appropriate details. (Learn more about the relevant fields and buttons below.)
- Click the Compliance Information tab to select and enter appropriate details. (Learn more about the relevant fields and buttons below.)
- Click the Budget tab to select and enter appropriate details. (Learn more about the relevant fields and buttons below.)

Understanding Fields and Buttons

Proposal # |
A unique Proposal number must be entered for every grant. Required must be entered first |
Primary Prop. # |
The Primary Proposal number field is used only for sub projects and contains the proposal number of the primary project. This entry is required in order for the other support pages to be generated correctly. Sub projects are normally found on program project grants |
Univ. Prop. # |
The University Proposal field allows the user to enter the university assigned proposal number, if applicable. The user can elect for the system to automatically assign a University Proposal number. This occurs by pressing the ‘Assign Next University #’ button that is displayed in the toolbar when the grant data entry is on a blank record. This ‘Assign Next University #’ must be set up by selecting File, Options, and Assign Next University #. The user defines the prefix and the starting university proposal number. The university proposal numbers will then be assigned in alphanumeric order

# Sub Accounts |
This is the number of program projects on the grant. It is left blank if there is one on the grant. This is used with the primary project of a program project grant |
Status |
The status of a grant may be Pending, Active, Terminated, or Rejected. This information must be entered in order for the reports to operate correctly. Initially, grants are entered as Pending. When notified from funding agency, this is changed to Active or Rejected. Active grants are changed to Terminated when funding is complete |
Submitted |
This field contains the date that the grant application was submitted to the funding agency |

General Tab
The General tab includes information such as the title, agency, university account, budget and project dates, and direct and indirect costs associated with the grant. The bottom of the general tab also contains Principal and Co-Investigator information. Field Descriptions for the General tab are listed below.

Award Type |
This is the type of award. Only award type codes previously entered in the award type data entry screen can be used. A valid list of award type codes will be displayed when the user left mouse clicks on the box to the right of the field. Examples of these codes would be Investigator, PPG, Research, R01, or Training |
Prop. Type |
This is the proposal type. Only proposal type codes previously entered in the proposal type data entry screen can be used. A valid list of proposal type codes will be displayed when the user left mouse clicks on the box to the right of the field. Examples of these codes are N = New and C = Continuation |
Agency |
This is the abbreviation of the name of the funding agency. Only agency codes previously entered through the agency data entry option can be used. A valid list of agency codes will be displayed when the user left mouse clicks on the box to the right of the field. Examples of these codes are NIH for National Institute of Health and ACS for American Cancer Society |

Department |
This is the code for the department in which the grant is housed. A valid list of department codes will be displayed when the user left mouse clicks on the box to the right of the field. To the right of this field is a department label. The system will automatically fill in the department label |
Division |
This is the code for the division in the department in which the grant is housed. If there are not divisions in the department, the field is left blank. A valid list of division codes will be displayed when the user left mouse clicks on the box to the right of the field |

This is the type of investigator: 1 = Principal Investigator 2 = Co-Principal Investigator 3 = Co-Investigator P = Postdoctoral Research Associate Note: There can be only one Principal Investigator per grant |
PI ID |
This field is for the Principal Investigator’s Personal Identification Number. Only personal identification numbers already entered in the principal investigator section can be used. A valid list of PI identification numbers will be displayed when the user left mouse clicks on the box in the right side of the field. This drop-down box appears when the cursor is sitting in the field |
PI Name |
The Principal Investigator’s name will automatically be filled in by the system |
% Eff. |
The % effort field is used for the percent of the investigator’s work effort that is applied to this grant |
FR |
This field determines whether the investigator is financially responsible. The field is a toggle box with a blank box for not financially responsible and a check in the box if the investigator is financially responsible. The investigator who is financially responsible will get credit for the money in the grant table reports. Only one investigator can be financially responsible for all of the money, or the money may be divided among the investigators on the individual sub projects |
DF |
This field determines if the investigator is department faculty. The field is a toggle box with a blank box for not department faculty and a check in the box if the investigator is department faculty |
OS |
This determines if this grant is to print on the investigators other support page. The field is a toggle box with a blank box indicating to exclude the grant from other support and a check in the box if the grant is to be included on the investigators other support page |
SR |
This determines if the grant is to be used with Space Allocation reports. Only used in combinations with the Space module |

Used to allocate financial responsibility. It is the percentage assigned to each investigator. The total must equal 100 |

The Other Support tab is used to supply additional information about the grant for producing other support pages.

Department Allocation Tab
The Department Allocation Tab defines the percentage of a grant that is allocated between departments.

The percentage of the grant that has been allocated to the Department and Division defined. Note: The percentage column cannot total more than 100% |
Compliance Information Tab
The Compliance Tab defines whether the research for the grant uses animal or human subjects, and if the research for the grant uses any radioactive materials, potential biological hazards, or chemical hazards. This tab allows space to enter the date the Institutional Review Board’s approval ends for the subjects or substances.
Define each subject or substance to indicate whether it is used during the research of this grant or not. Define this status using the radio buttons under the Used column. Options are
Yes, No, and Pending. The default option is no. Use the Pending option when the approval for the subject or substance from the compliance office is still pending.
Use the Date Approval Ends field when the subject or substance has been defined as Yes. This date is used to determine when a compliance renewal is necessary.
Budget Tab
The Budget Tab provides recording of the grant budget amount by object code and also tracks matching funds budget information.
