GrantForward is a funding database and service built by academics for researchers. The following setup information is applicable for Cayuse Admins who already use GrantForward and are ready to set up the integration with Sponsored Projects.

Please note: GrantForward is a separate system that integrates with Cayuse Sponsored Projects. Functionality, workflows, and interface elements within GrantForward are managed by GrantForward and may change independently of Cayuse.
Integration Setup: What’s needed?
To integrate Cayuse Sponsored Projects with GrantForward you will need:
- Your Cayuse application URL (for example: https://xxxx.app.cayuse.com)
- Your Cayuse tenant ID (available from Cayuse Support)
- The Cayuse User ID for a Cayuse Sponsored Projects user (available from Cayuse Support). Proposals created by this integration will be created under this user’s name but can be edited by any Sponsored Projects user with access. Contact Cayuse Support to obtain your Tenant ID and User ID or to learn more about how this integration works in Cayuse Sponsored Projects.
- GrantForward-specific fields added to your Proposal form keys in Sponsored Projects (see below for list of keys and details).
Once you have the above Cayuse details you can proceed to complete setting up this integration in GrantForward. You will need to have a Master Administrator user account in GrantForward to setup this integration:
- Log in to the GrantForward website with your GrantForward Master Administrator account.
- Navigate to the Administrative Console tab, then select Integration from the drop down list.
- From the Integration Management page, select the Cayuse Integration tab. If you do not see the Cayuse Integration tab, contact GrantForward to request this be enabled on your account.
- Enter Configuration Details:
- Cayuse Tenant ID: Input your Cayuse Tenant ID (Contact Cayuse Support if you do not have it).
- Cayuse Integration URL: Enter the Cayuse URL specific to your organization.

Cayuse User ID: Input your Cayuse User ID (Contact Cayuse Support if you do not have it).
- Click Save Settings to finalize your GrantForward configuration.
Once configured, the Apply in Cayuse button will now appear in GrantForward when viewing a grant opportunity.
Using the Integration
- Users can initiate the workflow in GrantForward by navigating to the Grants tab and selecting Search for Grant Opportunities.
- Use the Grant Search in GrantForward to identify desired grant opportunities.
- When you have found a grant opportunity to sync to Cayuse Sponsored Projects, click on the title to open the full opportunity view in GrantForward:

When the full view of the grant opportunity opens, click on the green button that says Apply in Cayuse to create a Proposal using the grant opportunity’s details.
- After a few seconds, the integration will create a proposal in Cayuse Sponsored Projects. Once complete, you will see a notification in GrantForward with an option to view the proposal in Cayuse.
- Clicking View proposal opens the Sponsored Projects proposal this integration just created in Cayuse Sponsored Projects. If your Cayuse Sponsored Projects user does not have access to the created proposal, request an Admin or someone with edit access on the record to provide access.
Select the Proposal Section(s) that contain the GrantForward-specific keys for this integration (see below) to view the opportunity details received from GrantForward.
Please Note: This feature is available only to users with an existing Cayuse Sponsored Projects account.
Required Keys for Populating Data into Proposal Records
In order for details from GrantForward opportunities to sync into a new proposal record in Sponsored Projects, you must have created a Sponsored Projects Key for each of the below GrantForward fields you want to sync.
Please note: if you are using the Advanced Form Builder in SP, what is referred to below as the ‘Key’ attribute is the ‘ID’ attribute. Please refer to this article for more details.
- The Sponsored Projects Keys listed below can be in any Form Section and in any order as long as the Sponsored Projects Key name and Type are correct.
- It is not required to have matching Sponsored Projects keys for every GrantForward field listed below, but the integration will only be able to sync details from GrantForward fields that have a matching Sponsored Projects Key with the correct data type.

FAQ
Q: Why didn’t I see the Proposal successfully created in Cayuse popup after clicking Apply in Cayuse in GrantForward?
A: Verify that all of your Cayuse Integration configurations entered into GrantForward are correct (URL, Tenant ID, User ID). Verify your Sponsored Projects product is active and that the User ID entered into GrantForward is active in SP.
Q: Why can’t I see my proposal in Cayuse Sponsored Projects after successfully pushing an opportunity from GrantForward and clicking View proposal?
A: By default, the only users who will have immediate access to all proposals created by this integration are:
- The person whose User ID is stored in the integration settings in GrantForward
- Any user with the SP Proposal Administrator role
- Any user with the Proposal Viewer/Editor/Administrator roles for all units
If your Cayuse user is not the user provided in the GrantForward integration settings or your Cayuse user does not have the required roles, you will need to be given access to the proposal by someone with edit access to the record.
You can be given access in the following ways:
- Being listed on the research team
- Being added to the Access tab
- Being assigned additional roles in the Admin module
Access must be assigned by a Proposal Administrator at your institution.
Q: Why isn’t all content from GrantForward opportunities appearing in my Cayuse Sponsored Projects proposals?
A: Verify the following:
- GrantForward-specific keys have been created in Cayuse Sponsored Projects as outlined in this article
- Key names in Sponsored Projects exactly match the corresponding GrantForward field names
- The data/question type for each Sponsored Projects key matches the table above
Q: Why are duplicate proposals appearing in Sponsored Projects for the same GrantForward opportunity?
A: This can occur if a GrantForward opportunity has been pushed from GrantForward to Cayuse multiple times. As opportunity content in GrantForward can change as opportunity details are updated, this allows you the ability to sync current opportunity details into a fresh Sponsored Projects proposal.
