There are two kinds of subawards in Cayuse Proposals: a standalone subaward that is not linked to a prime proposal, and a subaward linked to a prime proposal.
Before subawards are created, the following need to be added to the Cayuse Proposals database:
- An institutional profile for the subcontractor
- Professional profiles for the subcontract Key Persons
- Institutional associations between the Key Persons and the Institutional Profile
Contact your administrator to have these items created.
Creating a Linked Subaward
- Find and open the prime proposal.
- Click on the Subaward Budget Attachment form.
- Click Create Subaward.
- A Create New Subaward window may appear. Fill in the fields and click Create Subaward.
Creating a Standalone Subaward
If a prime is at another institution or hasn't been created yet, you may want to create a standalone subaward.
- In the Proposal tab of Cayuse Proposals, click Create Proposal.
- Click Research Subaward Proposal and click Create.
- In the new Create New Subaward window, fill in the fields and click Create Subaward.
Subaward Creation Fields
- Subaward Name
- Organization: not required. If your organization is not yet available as an institution, you can add this later.
- Budget Periods: the number of budget periods within your subaward.
- Due Date: the due date of the subaward.
- Validation Type: can be changed at a later date if you are unsure.
Notes
The maximum number of subawards that can be submitted with a prime proposal is determined by the version of the subaward attachment form included with the opportunity. If the RR_SubawardBudget30 form is included, you can submit up to 30 subawards, while other versions allow you to submit up to 10.
To see which forms are included in your opportunity, click the Opportunities tab and find your opportunity in the list. Click the blue info icon for more information, including a list of forms that are included with the opportunity.
If you need to include data from additional subawards into the budget calculations, you can use worksheet rows, which are not submitted.
