Please note: If you are moving from the standalone application of Proposals (S2S) to the Platform version, there are significant role permission differences to be aware of when setting up the Admin Module.
Since all admin data management for Proposals (S2S) on the Platform is controlled within the Admin module, any user with the Pre-Award Admin or SysAdmin role that would like to retain the same permissions level will need to be given the Platform role of RS Admin Administrator. However, it is worth noting that the RS Admin Administrator role provides a significant increase in permissions over the standalone roles mentioned above.
Please assign the RS Admin Administrator role with caution and reach out to your Cayuse account contact if you have questions.
Default Permissions
SysAdmins can set several preferences related to the accessibility of institutional profiles using the Institutional Preferences. These preferences are listed under Permissions and include:
- Who can create new institutional profiles.
- What level of access all users have to institutional profiles.
- What level of access Pre-Award Admins have to institutional profiles.
Most institutions reserve the creation of institutional profiles for Admins (either SysAdmins or both types of Admin). This prevents duplication and increases consistency. Generally, Pre-Award Admins are able to have full access to existing profiles, which spreads out the burden of maintaining institutional profiles among a larger number of people.
Finally, users usually have List, Read, Autofill permissions. This allows them to see and use the data in existing institutional profiles to associate professional profiles and create proposals. If they have a need for a new profile, they must contact an Admin.
Profile-Specific Permissions
If access to institutional profiles is limited for ordinary users, you can grant additional permissions on an institutional profile to individual users. Most commonly, you may want to grant access for a specific user to modify a profile, such as a subcontractor profile, after you have created it.
To change the permissions for the profile, access the profile in the Institutions tab and click on the permissions key in the upper right. This brings up the Permissions screen for the profile.
The permissions here operate similarly to those for proposals and professional profiles. Add individual users with the desired permissions, being sure to include the Write permission if they need to modify the profile.
If users normally do not have access to view and autofill subcontractor profiles, you can add individual users to the profile with List, Read, and Autofill permissions. However, we would recommend that all users be granted the ability to list, read, and autofill all institutional profiles unless your proposal development model is entirely centralized.
