Purpose
The Operational Dashboard is designed for research administration leadership and team managers to track productivity, monitor task progress, and identify bottlenecks. Integrated directly into the Cayuse platform, it provides a comprehensive view of both your institution's high-level workflow lifecycles and the day-to-day task workload of your staff.
This dashboard helps you answer key questions such as:
How long does it typically take for a proposal to go from creation to submission?
Where are the bottlenecks in our award setup and review processes?
Which units or teams have the highest volume of late or pending tasks?
What is the current status of all open tasks assigned to a specific team member?
Accessing the Dashboard
Log in to the Cayuse platform.
Click the product switcher dropdown menu in the main header.
Select "Insights" from the list of products.
From the list of available dashboards, select the Operational Dashboard.
(Note: Depending on your institution's implementation stage, you may have access to a Demo view using UAT data, or a Production view. Please note that the "Operational Workload" task data is currently rolling out and may only be visible in the Demo environment).
Navigating the Dashboard
The dashboard is divided into two distinct halves, accessible via tabs at the top: Operational Workflow and Operational Workload.
1. Operational Workflow (Productivity & Lifecycles)
This tab analyzes your Proposal and Award data through the lens of productivity and time-to-completion.
Filters: Use the filters at the top to narrow data by Create Date, Unit Type, Sponsor Type, or Unit Name.
Lifecycle Breakdowns: Two main containers detail the Pre-Award (Proposals) and Post-Award (Awards) lifecycles. By default, these show overall volume and average duration stats.
Granular Views: Use the toggles within the charts to switch from overall stats to breakdowns by Unit Type, Unit Name, Sponsor, or Trends Over Time.
Submission Funnels: At the bottom of the page, funnel charts visualize the step-by-step progression of your proposals and awards from creation through final decision, helping you see exactly where items drop off or stall.
2. Operational Workload (Task Management)
This tab analyzes task data from across your Cayuse applications to give you a clear picture of what your teams are working on.
Filters: Adjust the view by Internal Due Date, External Due Date, Primary Unit Name, and Task Type.
Workload Widgets: The data is broken down into three main widgets: Unit Workload, Team Workload, and Person Workload.
Timing vs. Status: Each workload widget has two sub-tabs you can toggle between:
Timing Tab: Groups tasks by their deadline adherence: In Progress (On Time), In Progress (Late), and Completed.
Status Tab: Groups tasks by their current system state: Pending, Open, and Closed.
