You may wish to track the number of student researchers on grants. This can be done be done by tracking User Defined codes on a grant record.
Creating a User Defined Attribute Key
- In the top right-hand corner, click on the Settings wheel, and click on Codes.
- Beneath Grant Codes, click User Defined Attribute Keys.
- Click .
- Create a code, such as STUDENT, or UNDER for undergraduate students and GRAD for graduate students. Make sure to change the display status of your new codes to ACTIVE before clicking CREATE.
Creating a User Defined Attribute Value
- On the Codes page, click on Defined Attribute Values Grants Codes.
- Click .
- Use the User Defined Attribute Key drop-down to select the User Defined Attribute Key that you created. Create multiple User Defined Values up to the maximum number of students allowed on your grants. Make sure the display status for each one is set to ACTIVE.
Adding Number of Student Researchers to a Grant Record.
- Modify an existing grant record.
- In the left-hand menu, click on User Defined.
- Click Add User Defined Attribute.
- Add the Attribute Key and Coded Value, and click Create.
Searching by Number of Student Researchers
- Search for grant records using the Filter & Report function.
- In the top bar, click on the drop-down arrow, and click on User Defined.
- Beneath the code you created, input the values you wish to search for. Click .
Because these values are custom, you cannot run a system report, however, clicking on Export to Excel will generate a custom report for these values.
