Overview
You can use the Salary and Fringe Benefit Calculator to project salary and fringe benefit information for personnel. You can make projections for individuals or groups of employees over user-defined time periods. Calculations are performed on employee information that is pulled from the Personnel Module.
You can print results in a report or load them in the Accounting Module as encumbered transactions, or “what-if” scenarios.
Before You Begin
The Accounting Module must be installed to use this functionality. In order for the projections to work, the Personnel Module must already be populated with salary and fringe benefit information for a group of employees. Also, Accounts with Account Fringe Benefit Rate codes must be set up.
How to Generate Projection Reports
From the Accounting module, Projections menu, follow these steps to generate a Salary and Benefit projections report.
- Select Salary and Benefit from the drop-down menu. The Salary and Benefit projection screen appears.
- Enter desired criteria to define the salary data to be pulled from the Personnel module. You must select an employee type, and you can choose more than one employee. The selection criteria are described in this table:
Salary and Benefits Field

Employee Type
Allows the user to select the type or types of employees on which to calculate salary and fringe benefits. At least one employee type must be selected ID
Allows the user to select an individual employee’s identification number on which to calculate salary and benefits
Account
Allows the user to select the account code on which to calculate salary and benefits Cost Center
Allows the user to select the cost center on which to calculate salary and benefits Employee Corporation
Allows the user to select the corporation code on which to calculate salary and benefits Employee Department
Allows the user to select the employee department on which to calculate salary and benefits Employee Division
Allows the user to select the employee division on which to calculate salary and benefits Employee Group
Allows the user to select the employee group on which to calculate salary and benefits Start Date
Allows the user to select the start date of the time period on which to calculate salary and benefits. Start date must be entered End Date
Allows the user to select the end date of the time period on which to calculate salary and benefits. End date must be entered
Note: If Account criteria are selected, dates are pulled automatically from the Account Code setup screen where the account was defined. - Click the Find button to pull salary and benefit information from the Personnel Module. Records will display in the Salary Data grid.
- Select a report format from the Reporting Options Format drop-down menu, as desired.
- Click the appropriate toolbar button to perform the action you desire with the records in the Salary Data grid.

Understanding the Salary Data Grid

Record Type | Identifies the employee type for the row. This would indicate whether the employee is Faculty, Staff, Student, or a Post Doc |
ID | Displays the identification number for the employee for whom salary and benefits are to be computed |
First Name |
Displays the first name of the employee for whom salary and benefits are to be computed |
Last Name | Displays the last name of the employee for whom salary and benefits are to be computed |
Corporation Code | Displays the corporation code defined for the employee’s salary data record |
Start Date | Displays the start date defined for the employee’s salary data record |
End Date | Displays the end date defined for the employee’s salary data record |
Pay Type | Displays the pay type for the employee’s salary data record |
Pay Period | Displays the pay period for the employee’s salary data record |
Account | Displays the account code for the employee’s salary data record |
Object Code | Displays the object code for the employee’s salary data record |
Object Set | Displays the object set for the employee’s salary data record |
Cost Center | Displays the cost center for the employee’s salary data record |
Account Rate | Displays the account rate for the employee’s salary data record |
Hours | Displays the hours for the employee’s salary data record |
Total Salary | Displays the total salary for the employee’s salary data record |
Benefit Package | Displays the benefit package for the employee’s salary data record |
Cost Share | Displays the cost share account for the employee’s salary data record |

Monthly/BW Rate | Displays the monthly/bi-weekly rate for the employee’s salary data record |
Using the Salary and Benefit Projections Screen Toolbar

Find Employee/Account Information | This option finds the employees with salary and benefit entries within the specific criteria selected. The option can also be performed by using the Shift + F2 key | |
Calculate | This option computes the salary and benefits based on the general information entered on the top of the screen and the benefit packages that are assigned to the records | |
Load | This option loads the encumbered transactions into the Accounting Module |

Report | This option generates a report of the Salary and Benefit Information calculated based on the report type selected in the Reporting Option located at the top of the screen | |
Options | This option allows the user to load the Salary and Benefit information by account or person, and by month, pay period, or source change. The user can also enter a default Reference Number 2 entry that will load automatically with the encumbrances. The user can also elect to not calculate benefits |

Multiple Option | This option allows the user to enter multiple criteria for each of the criteria selections at the top of the screen. The cursor must be located in the field where you wish to have multiple criteria before selecting the Multi button. For example, if you wish to pull Salary and Benefit for multiple accounts, place the cursor in the account field, then select the Multi button. When the Multiple Account Selection Criteria screen appears, type in the accounts needed | |
