School codes define a college or school, such as the School of Medicine, Law School, or College of Arts and Sciences. They are distinct from Department Codes, which define departments within a school.
Before You Begin
- Become familiar with the organizational codes available in Department Manager, as described here.
- Have a plan or reference in place for code assignment. Determine if a spreadsheet is already available listing the various school codes.
How to Set Up School Codes
Follow these steps from the Grant module's File menu:
- Click File/Codes/Organizational Hierarchy. Schools appears in the Organizational submenu.
- Click Schools. The School Codes screen appears.
- Click the Edit and Insert buttons to open a new record.
- Enter the desired School Code in the corresponding Code field (alphanumeric up to eight places, uppercase recommended, no spaces).
- Tab to the Description field and enter an appropriately detailed description for your new School code.
- Enter a Label name, which serves as an abbreviated description to produce mailing/address labels.
- Select A for Active status from the drop-down menu.
Note: You can later change this status to T for Terminated status if you will no longer use this School code. - Tab to advance to the next row to enter the next record, or click the Close button to exit this screen.
