Automated emails can be sent out to notify users of status changes, assigned tasks, and more. As an RS Admin, you will need to configure and enable the email templates by following the steps below.
The default email templates for SP 4.0 and Admin Module can be managed and configured within the Cayuse Admin module. Look for more application email templates to be added in the future.

Who can access email templates?

Opening Email Templates
From the Admin dashboard, click More, and then click Email Templates.
Available templates will be specific to your organization's applications and your email template page may look similar to the example below.
- Cayuse Application: The name of the product application the templates are related to.
- Template Name: Name and brief description of the template. Click to open and configure.
- Active Toggle: Indicates if the template is currently active (enabled) or not. Toggle to ‘No’ to inactivate a template. Please note: If inactivated, no one on the research team will receive an email notification alerting them to assigned actions.
Configuring Email Templates

Please note: Placeholders cannot support any special formatting (bold, italics, underlined, etc). Additionally, updates made to an individual template will appear anytime that template is sent out.
Click on the desired template to open.
The following four fields can be configured within a template:
CC and BCC Fields
Click into the CC or BCC field. Begin typing the name of the team you would like to include. Select the team from the drop-down list. Click Save after updating.
Subject Field
Click into the Subject field and update the text or placeholders (copy and paste from the approved placeholder list). Click Save after updating.
Please note: The following special characters CANNOT be used in the Subject field: ‘&’ ‘=’ ‘<' '>’.
Email Body
Similar to the Subject field, the email body can be updated using text or placeholders (copy and paste these from the approved placeholder list). Update text or add a link using the available formatting tools. Click Save after updating.
Reminder: Placeholders cannot support any special formatting (bold, italics, underlined, etc). You may format any other non-placeholder text.
