It is essential to prepare properly before you perform data archiving; you cannot change data once you have archived.

How to Reconcile to Final General Ledger Reports and Run Reports
- From the Accounting Module, click Special Procedures/Prepare for Year End/Year End Reports.
The following screen will display, which allows access to a drop-down menu for Detailed/Specialized Reports:
- Follow the Year End guidelines described in the following table and bullet list to produce needed reports.
IF you are to perform...
THEN follow the guidelines below and...
an Account Year End close
run these two reports from Detailed/Specialized Reports:
- Account Budget
- Account Breakdown
a Cost Center Year End Close
run these two reports from Detailed/Specialized Reports:
- Cost Center Budget
- Cost Center Breakdown
The account budget and expense totals exactly match those of the corresponding institution general ledger reports.
For either year-end close, ensure that you follow these guidelines:
- You match the final institution general ledger reports for the budget period to be closed.
- Consider setting a start date that is not blank when generating these reports. Either set it to the budget period start date or to a date a few years prior to it in order to identify transactions with incorrect dates.
Note: These steps are extremely important. A year-end close cannot be reversed. The transaction end date is set equal to either the period end date or the Cost Center budget period end date.
