Detailed Release Notes
New and Enhanced
- Attachment and Task Updates
- Attachments can now be uploaded to SP tasks (learn more by reading the article about Creating Ad Hoc Tasks).
- Attachments can now be uploaded to SP tasks (learn more by reading the article about Creating Ad Hoc Tasks).
- Attachments of up to 75 MB (previously 10 MB maximum) can now be uploaded to the following SP 4.0 areas: Attachments tab, Admin Only tab, within attachment form objects on SP records, and attachments uploaded into SP tasks.
- The default Tasks tab behavior has been updated to only show the Open tasks to align with the My Tasks home page behavior. The toggle switch to show All tasks associated with the record is still available.
- When selecting an SP ad hoc task from the My Tasks home page table, you will be directed to that task's page. Upon closing the task page, you will be directed to the SP record's Task tab. Previously selecting an SP ad hoc task from the My Tasks home page directed to the Form tab on the associated record.
- Continued to make multiple accessibility improvements to the application.
- Search Functionality Updates (learn more by reading the Types of SP Search Methods article).
- A more flexible search method has been implemented making it easier to find relevant results when searching for a person throughout the SP 4.0 application.
- Updates were made to the PI and PI Unit attribute search on the Award/Proposal dashboard to make the search more flexible.
- Updated the Unit Finder object and External Organization Finder object search to only display units/organizations with an active unit/organization profile in the Admin Module.
- Updated SP Person search components to only display people in the search results with an active Person profile in the Admin Module.
- Changes have been made to the Advanced Form Builder (AFB) in an effort to reduce the time it takes for forms to load.
- Updated the Unit Finder object and External Organization Finder object search to only display units/organizations with an active unit/organization profile in the Admin Module.
- New data fields were made available for display in SP in-app reports, downloadable .CSV files, and dashboards. Also, these new fields can be used in the dashboard search field. See below for additional information.
Fixed
- Added more protections in cases where two form objects have the same value attribute but also have other incompatible attributes. This scenario was leading to records failing to load properly before this update.
- Added validation in the form builder to prevent publishing a form if the value attribute begins with a numerical character.
- Updated the wording on the Create New Proposal modal to better reflect the current behavior that the new proposal can only be added to a project that has existing proposals. Another update will be made in a future release to allow proposals to be created within existing projects that only contain awards. At that time, the wording on the Create New Proposal modal will be updated again.
- Fixed an issue where an award modification couldn't be set to active properly if the modification comment included a "%" symbol.
Additional Information: New Data Fields
The following new data fields have been made available for display in SP in-app reports, downloadable .CSV files, and dashboards (including dashboard search field).
Admin Assigned
An Admin Assigned column can now be added to SP in-app reports, downloadable CSV files, and dashboards. This column displays the person(s) listed as the assigned admin on the record.
Research Team Object
Now, each available field on the object has its own applicable column that can be added to an in-app report, downloadable CSV, or dashboard. The existing PI and PI Unit columns are still present, and additionally there are columns for:
- Research Team Name
- Research Team Role
- Research Team Internal Association
- Research Team Internal Association Primary Code (pulls from Admin Module for the listed unit)
- Research Team Credit
- Research Team Cost Share - Calendar
- Research Team Cost Share - Academic
- Research Team Cost Share - Summer
- Research Team Sponsored Effort - Calendar
- Research Team Sponsored Effort - Academic
- Research Team Sponsored Effort - Summer
- Research Team Total Effort
- **Research Team Employee ID (pulls from Admin Module for the listed person)
- **Research Team Member Gender (pulls from Admin Module for the listed person)
- **Research Team Member Ethnicity (pulls from Admin Module for the listed person)
- **Research Team Member Citizenship (pulls from Admin Module for the listed person)
** Field is only available for selection for users with the SP System Administrator role. For users without this role, the field will not be visible in the in-app reports, Download to CSV modal, or Set View modal.
Person Finder Objects
For any person finder form object, the following supplementary columns are available with the selected person(s) admin data.
- **Employee ID (pulls from Admin Module for the listed person)
- **Gender (pulls from Admin Module for the listed person)
- **Ethnicity (pulls from Admin Module for the listed person)
- **Citizenship (pulls from Admin Module for the listed person)
** Field is only available for selection for users with the SP System Administrator role. For users without this role, the field will not be visible in the in-app reports, Download to CSV modal, or Set View modal.
The column names will display the object's label with the text above appended.
Example:
- Form has a person finder with a label of "Primary Contact"
- In this case, the in-app reports, CSV download file, and dashboards would all have the following columns available:
- Primary Contact Employee ID
- Primary Contact Gender
- Primary Contact Ethnicity
- Primary Contact Citizenship
Unit Finder Objects
For any unit finder form object, the following supplementary columns are available with the selected unit(s) admin data.
- Primary Code (pulls from Admin Module for the listed unit)
The column names will display the object's label with the text above appended. For example:
- Form has a unit finder with a label of "Admin Unit"
In this case, the in-app reports, CSV download file, and dashboards would all have the following column available:
- Admin Unit Primary Code
External Organization Finder Objects
For any external organization finder form object, the following supplementary columns are available with the selected organization(s) admin data.
- Primary Code (pulls from Admin Module for the listed organization)
- Org Type (pulls from Admin Module for the listed organization)
The column names will display the object's label with the text above appended.
For example:
- Form has an external organization finder with a label of "Sponsor"
- In this case, the in-app reports, CSV download file, and dashboards would all have the following column available:
- Sponsor Primary Code
- Sponsor Org Type
