The agreement list view is your primary tool for finding and monitoring agreements across your portfolio. You can combine multiple filters to narrow results to exactly what you need — a specific agreement type in a particular status, all agreements managed by a colleague, or anything expiring in the next quarter.
Navigating to the Agreement List
From the Cayuse Agreements main navigation, select Agreements to open the agreement list. By default, the list shows all agreements your role gives you access to, ordered by most recently updated.
Available Filter Options
You can filter the agreement list by any combination of the following fields:
- Agreement type — Filter to a specific agreement type (NDA, Sponsored Research Agreement, Material Transfer Agreement, etc.).
- Status — The legal/administrative state of the agreement (for example, In Negotiation, Executed, Expired).
- Workflow state — The process state within your office's workflow (for example, Pending Review, On Hold, Awaiting Signature).
- Date ranges — Filter by key date fields: effective date, execution date, expiration date, or termination date. You can set a start and end range for any of these.
- Primary manager — Filter to agreements assigned to a specific staff member. Useful for reviewing a colleague's portfolio or checking your own workload.
- Organization — Filter by the external party (sponsor, collaborator, vendor) associated with the agreement.
- Tag — Filter by any tags applied to agreements. Tags are flexible labels your office can define; common uses include funding source, research area, or project code.
- Reference number — Search by your institution's internal reference number or the sponsor's agreement number.
Combining Multiple Filters
Filters work together: applying more than one filter narrows results to records that match all selected criteria. For example:
- Agreement type = Sponsored Research Agreement and Status = In Negotiation and Primary manager = [your name] returns only your active SRAs currently in negotiation.
- Expiration date range = today through 90 days out and Status = Executed returns all currently active agreements expiring soon.
There is no limit on how many filters you combine.
Common Searches
All agreements expiring in the next 90 days: Set the expiration date range from today's date to 90 days out. Add Status = Executed if you want to exclude already-terminated or expired records.
All agreements currently in negotiation: Set Status = In Negotiation. Add Agreement type if you want to focus on a specific type (for example, all NDAs in negotiation).
All agreements assigned to a specific manager: Set Primary manager to the relevant staff member. Combine with Status or date filters to focus on active or expiring agreements.
Agreements tagged for a specific project or sponsor type: Set the Tag filter to the relevant tag. This is especially useful if your office uses tags to group agreements by grant, department, or initiative.
Find an agreement by reference number: Enter the reference number directly in the reference number search field. This returns an exact or partial match.
Tips
- Clear all filters before starting a new search to avoid unintentionally combining leftover criteria from a previous search.
- If your results seem unexpectedly small, check whether a filter from a previous session is still active.
- Use the Organization filter when a sponsor calls about their agreements — filter by their name to pull all records associated with that entity quickly.
- Date range filters use the agreement's stored date fields, not the date the record was created. Make sure key dates are entered on agreement records for date filtering to work accurately.
