This manual will guide you through the third tab in List Configuration and Maintenance within System Administration.
List Configuration and Maintenance houses many of the system wide list configurations such as master lists, system setup tools, user setups, notifications, as well as maintenance tools such as clean-up and system audits.
Upon entering the List Configuration and Maintenance area, you will have access to the configuration options, displayed as a tabbed list with 5 main categories, System Setup, Site List Setup, System Notifications, Clean-up and Audits. Each category is viewed by selecting the tab at the top of the screen. The following sections of this manual review functionality in the first tab System Notifications.
System Notifications
This tab allows a System Administrator to configure system related notifications that can email certain users within the system based on system actions.
*Helpful Tip: Refer to the System Notification Templates Documentation, which contains helpful notification specific templates. These templates can be referenced when creating your own institution-specific notifications.
All System Notifications within List Configuration and Maintenance are configurable and will send to users based on an action in the system (example: when a user is assigned to apply an electronic signature on a submission) or based on the nightly email thread (example: a reminder to apply electronic signature on a submission form). These notifications can be enabled, disabled, edited, added, and deleted, as the iRIS administrator feels necessary.
System Notification General Setup
System Notifications can be setup to send to Key Personnel as well as to system administrators, or department administrators, depending on the type of notification. These notifications range from notices tasks within the system (Submission Signoffs, Subject Task Completions) to alerts (Education Expiring, Account Creation).
Notifications can be setup in the same way by entering the content of the email and using merge codes to pull in specific information. Start by clicking the Add Notification button for a specific notification.
All notifications will require a Title. This will be the subject line of the email.
IRB Study related notifications will include an Include IRB Number button to the right of the Title. If this button is clicked, a merge code will be inserted into the Title that will pull in the IRB Number associated to the study when the notification is sent out. If the study does not yet have an IRB Number assigned, the merge code will not display in the Title.
Certain notifications will require a number of days. This is typically how many days prior to a certain date you want the notification to send.
You will also be able to specify whether or not to send the email notification by selecting Yes or No in the Send E-Mail Notification column. If “Yes” is set, the notification will send to the recipient. If “No” is set, the notification will not send. You would set a notification to “No” if you do not want the notification to send out, but you do not want to delete it from the system.
Some notifications will allow you to select additional recipients if there is a Send To column. Click the Add button and you will be able to search the database for a user to add as a recipient. You can have any number of additional recipients for the notification. To remove an additional recipient, click the checkbox next to the name then click the Delete button.
Within the E-Mail Content portion of the notification you can enter the body of the email. You can type in or copy and paste text and use the systems merge codes to pull in specific information when the notification is generated. Click the Insert Merge Code button and a small popup window will open allowing you to select the merge code you wish to use.
Once a notification is added, the record where it was added to will update with information related to how the notification was configured. The notification can be deleted, if necessary, by clicking on the Delete Notification button. If you delete the notification, you can re-add the notification, but none of the information you previously added to the notification will be kept.
Email Notification iRIS Link
A new merge code “Direct Task Redirect Link” was created to be added to any notification. This will create a home screen task and send an email to the user(s). When this merge code is added to the email template for those notifications, a link is inserted in the email.
When the recipient of the email clicks on the link, the iRIS login page is prompted. Once the user enters their credentials, the system will directly open to the task for which the notification was sent.
Within System Administration > System Configuration > Setup Default Settings > system.redirect_link_base_url, the institution must insert the URL link used to log in to iRIS as shown in the screenshot below.
Notifications Sent Based on Roles
Notifications can also be sent to all individuals on a study based on their roles on the study. To use this feature, click on a role listed or add a role within the notification setup. The following notifications can be sent by role: Subject Task Complete Notification, Study Milestone Occurred Notification, and Study Plan Published Notification.

User Account Notifications
These notifications send to users (and where appropriate a system administrator) to alert of any account creation activity, password requests, account lockouts and pending acceptance notifications.
Account Request Notification
This notification will send to a user when an account is requested. Accounts can be requested from the Login Page and will populate in the Account Requests link within System Administration.
Note: The Request an account button on the login screen is only available when the property system.use_account_request is set to “Yes.” See the System Configurations Manual for additional information on this property.
Recipients: Specified recipient, typically the System Administrator.
Send Criteria: Notifications will send immediately when a user sends an account request.
Account Created Notification
This notification will send to a user when their account request has been granted by a System Administrator.
Recipients: New users requesting an account.
Send Criteria: Notifications will send immediately when a System Administrator approves the account request in Account Requests.
Account Created Pending Acceptance Notification
This notification will send to a user when their account request to be added to a study has been granted by a System Administrator. This notification is only applicable if your system has been configured to work in the Multi-site/Multi-centered mode.
Recipients: New users requesting an account from a multi-site study.
Send Criteria: Notifications will send immediately when a System Administrator approves the account request.
Locked Account Notification
This notification is intended for cases where a user locks their account based on multiple failed login attempts.
Note: Setting the allowed login attempts is a configuration in the System Configurations area of iRIS. Please see the System Configurations Manual for additional information on adjusting the allowed login attempts.
Note: Users with System Administrative rights can unlock Accounts that have been locked. Please see the System Administration User Accounts Manual for additional information regarding these processes.
Recipients: Selected recipient, typically the System Administrator
Send Criteria: Notification will send immediately when a user locks out their account.
Password Request Notification
This notification will be sent to a user who indicates a forgotten password on the Login Page.
Note: This setting only works with the System Configuration property set to “Yes”, system.use_forgot_password_request. Please see the System Configuration Manual for additional information on this property.
Recipients: The user requesting their password and any additional recipients added to the notification.
Send Criteria: Notifications will send immediately when a user clicks the “I forgot my Password” link, then enters their correct User ID and clicks the Send Password button.
Pending Acceptance Notification
This notification will send to a System Administrator when a new account request has been requested within a multi-site study. This notification is only applicable if your system has been configured to work in the Multi-site/Multi-centered mode.
Recipients: System Administrator
Send Criteria: Notifications will send immediately when a user requests an account within a multi-site study.
Account Termination Notification Setup
This notification will send to recipients in two scenarios which are customizable – when the account has been inactive in a certain number of days and when the account will be terminated.
Account Inactivity Notification: This notification indicates to the user that they have not logged in for a certain pre-defined number of days.
Account Termination Notification: This notification indicates to the user that, following a certain pre-defined number of days of inactivity, their iRIS account has been terminated.
Subject Study Notifications
These notifications send to users (and where appropriate a system administrator) to alert of any subject-related tasks, specifically Subject tasks that are completed, milestones that have triggered, and invoice-related notifications.
These notifications are only applicable if your instance of iRIS has the Subject Management module with the Finance module configured.
Subject Task Complete Notification
This notification will send to recipients when a subject visit has been completed in the system and is intended to be used for billing purposes, when a subject task is completed, an invoice can be generated and sent to a sponsor.
Recipients: Any recipients added to the notification.
Send Criteria: Notifications will send immediately when a subject visit is marked as completed.
Study Milestone Occurred Notification
This notification will send to recipients when a milestone set up for a study has triggered in the system. This notification is intended to be used for billing purposes, when a milestone triggers, an invoice can be generated and sent to a sponsor.
Recipients: Any recipients added to the notification.
Send Criteria: Notifications will send immediately when a study milestone triggers.
Study Invoice Signoff Request Notification
This notification will send to recipients when a study invoice has been generated and a user has been assigned to review and apply electronic signature to the invoice.
Recipients: Any user tasked to review and apply electronic signature to the invoice.
Send Criteria: Notifications will send immediately when a user is assigned to the invoice.
Study Invoice Notification
This notification will send to recipients when a study invoice has been generated and sent. The generated invoice will attach to this email as a PDF.
Recipients: Any user listed as a recipient within the invoice.
Send Criteria: Notifications will send immediately when the invoice is sent within the study.
Central IRB Notifications
These notifications are related to multi-site studies. These notifications send users (and where appropriate a system administrator) to alert of any multi-site Contact Participate, Investigator Participate, Application, External Invitation to Participate, Form Request from Site, and Site Data Collection.
Multi-site Study – Site Contact Participate Notifications
These notifications are sent to contacts within the iRIS system who were selected to be invited to a multi-site study.
Multi-site Study - Site Contact Invitation to Participate Notification
Recipient: The Institutions that were invited to join.
Send Criteria: When the submission reaches this step in the workflow, the notification will send immediately.
Multi-site Study - Site Contact Invitation to Participate Notification Reminder –
Recipient: The Institutions that were invited to join.
Send Criteria: This notification will send after X amount of days if the invited institutions have not yet responded.
Multi-site Study - Site Contact Accepted Invitation to Participate Notification –
Recipient: The Institutions that were invited to join.
Send Criteria: The notification will send immediately after the Institution responded.
Multi-site Study - Site Contact Declined Invitation to Participate Notification –
Recipient: The Institutions that were invited to join.
Send Criteria: The notification will send immediately after the Institution responded.
Multi-Site Study – Site Investigator Participate Notifications
These notifications are sent when the Site Contact responds to the task, as seen below. If “Accept – Wait for the Site Investigator to accept” is chosen, these notifications will now be applicable.
Multi-site Study - Site Investigator Invitation to Participate Notification –
Recipient: The Site Investigator of the institution invited.
Send Criteria: When the submission reaches this step in the workflow, the notification will send immediately.
Multi-site Study - Site Investigator Invitation to Participate Notification Reminder –
Recipient: The Site Investigator of the institution invited.
Send Criteria: This notification will send after X amount of days if the invited institutions have not yet responded.
Multi-site Study - Site Investigator Accepted Invitation to Participate Notification –
Recipient: The core study contacts and/or PI (if chosen).
Send Criteria: The notification will send immediately after the Site Investigator responded.
Multi-site Study - Site Investigator Declined Invitation to Participate Notification –
Recipient: The core study contacts and/or PI (if chosen).
Send Criteria: The notification will send immediately after the Site Investigator responded.
Multi-site Study – Site Application Notifications
These notifications are used when the application has been accepted, and function to remind the Site side to complete the application.
Multi-site Study - Complete Site Application –
Recipient: The Site Study contact and other users apart of the study.
Send Criteria: When the submission is started, the notification will send immediately.
Multi-site Study – Reminder to Complete site Application –
Recipient: The Site Study contact and other users apart of the study.
Send Criteria: This notification will send after X amount of days if the invited institutions have not yet responded.
Multi-site Study – External Invitation to Participate Notification
These notifications are used for external invitees. It functions the same as inviting institutions that are internal, just for external institutions.
Multi-site Study – Invitation to Participate Notification for External Sites -
Recipient: The Site Investigator of the institution invited.
Send Criteria: When the submission reaches this step in the workflow, the notification will send immediately.
Multi-site Study – Form Request from Site Notification
These notifications are used for the Core Study to request other Sites to fill out a certain form.
Recipient: The selected sites that Core study decided on.
Send Criteria: When the submission reaches this step in the workflow, the notification will send immediately.
Multi-site Study – Data Collection Notifications
These notifications are used for the Core Study when a certain data value is desired to be collected from the sites.
Multi-site Study – Request for Site Data Collection Notification
Recipient: The selected sites that Core study decided on.
Send Criteria: When the submission reaches this step in the workflow, the notification will send immediately.
Multi-site Study – Monitor Site Data Collection Notification
Recipient: The Core study site.
Send Criteria: When the data collection has been completed, the notification will send immediately.
Workflow Signoff & Review Notifications
These notifications are related to specific submission signoff tasks that can be set up in the Workflow Designer. When a user receives a signoff task based on a workflow step, these are the notifications that will send to that user. You can also define reminder notifications that will send to the user when they have not completed their signoff task within a certain amount of time.
Submission Routing by Assigned User Signoff Notifications
A workflow routing step can be assigned to Designated Personnel. The notifications listed within this group are related to this workflow step.
Within the Submission Routing by Assigned User Signoff Notifications there are four separate notifications divided into two groups. The first group of notifications is related to initial signoff notifications and signoff denial notifications.
Submission Reviewer by Assigned User Notification
Recipient: The user listed in the Designated Personnel Queue within the Workflow Designer
Send Criteria: When the submission reaches this step in the workflow, the notification will send immediately.
Submission Reviewer by Assigned User Denial Notification
Recipient: Principal Investigator and Study Contact
Send Criteria: This notification will send immediately when the Designated Personnel denies the submission.
The second group serves as reminder notifications that will send to users who are not completing their signoff tasks and notifications that will send to Key Personnel alerting them that a user has not completed a signoff task to date.
Submission Reviewer by Assigned User Reminder Notification
Recipient: The user listed in the Designated Personnel Queue within the Workflow Designer
Send Criteria: Every X amount of days that the signoff task is not completed.
Submission Reviewer by Assigned User Exceeded Notification
Recipient: Principal Investigator and Study Contact
Send Criteria: In X amount of days if the signoff task is not completed.
Submission Routing by Study Role Signoff Notifications
A workflow routing step can be assigned to Study Roles. The notifications listed within this group are related to this workflow step.
Within the Submission Routing by Study Role Signoff Notifications there are four separate notifications divided into two groups. The first group of notifications is related to initial signoff notifications and signoff denial notifications.
Submission Reviewer by Study Role Notification
Recipient: Any user listed on the study as the role indicated in the workflow step.
Send Criteria: When the submission reaches this step in the workflow, the notification will send immediately.
Submission Reviewer by Study Role Denial Notification
Recipient: Principal Investigator and Study Contact
Send Criteria: This notification will send immediately when the Designated Study Role denies the submission.
The second group serves as reminder notifications that will send to users who are not completing their signoff tasks and notifications that will send to Key Personnel alerting them that a user has not completed a signoff task to date.
Submission Reviewer by Study Role Reminder Notification

These notifications are related to Key Personnel submission signoff tasks. When a user receives a signoff task, these are the notifications that will send to that user. You can also define reminder notifications that will send to the user when they have not completed their signoff task within a certain amount of time. There are also notifications that can be setup to alert Key Personnel of a submission form that has been created, but not yet submitted.
Study Routing Signoff Notifications
Within the Study Routing Signoff Notifications there are eight separate notifications divided into two groups. The first group of notifications is related to initial signoff notifications and signoff removal notifications.
Study Principal Investigator Signoff Notification
Recipient: Principal Investigator
Send Criteria: This notification will send immediately when the PI is tasked with a submission signoff.
Study Notification for Review and Signoff
Recipient: Any Key Personnel or Designated Department Reviewer
Send Criteria: This notification will send immediately when the user on the study is tasked with a submission signoff.
Study Notification of Signoff Denial
Recipient: Principal Investigator and Study Contact
Send Criteria: This notification will send immediately when an assigned user denies a signoff task.
Study Notification for Signoff Removal
Recipient: Principal Investigator, Key Personnel, or Designated Department Reviewer
Send Criteria: This notification will send immediately when the user on the study had been assigned a submission signoff and had received that task, but then is removed from the signoff.
Additional Submission Signoff Notification
Recipient: Principal Investigator, Key Personnel, or Designated Department Reviewer
Send Criteria: This notification will send immediately when a user is added to the sign-off on a submission from the review board processing screens.
KSP Training Validation Notification
Recipient: Principal Investigator and Study Contact
Send Criteria: This notification will send immediately when a submission fails an education check in the workflow. If the workflow is setup to stop the submission from proceeding, this notification will send. If the workflow step does not stop the submission, the notification will not send.
COI Submission Check Failed Notification
Recipient: Principal Investigator and Study Contact
Send Criteria: This notification will send immediately when a submission fails a COI check in the workflow. If the workflow is set up to stop the submission from proceeding, this notification will send. If the workflow step does not stop the submission, the notification will not send.
The second group serves as reminder notifications that will send to users who are not completing their signoff tasks and notifications that will send to Key Personnel alerting them that a user has not completed a signoff task to date.
Study Notification Reminder for Review and Signoff
Recipient: Principal Investigator, Key Personnel, or Designated Department Reviewer
Send Criteria: Every X amount of days that the signoff task is not completed.
Notification to KSP that the selected Reviewer has exceeded their allotted review time
Recipient: Principal Investigator and Study Contact
Send Criteria: In X amount of days if the signoff task is not completed.
Submission Waiting Notifications
Within the Submission Waiting Notifications there are two separate notifications. Each of these notifications is defined below.
Note: This notification only functions for forms that have the setting “Use Notification on Waiting Submission” within the System Forms Designer, Edit Form Details settings set to Yes. If this setting is set to No for a submission form, the notifications will not trigger once a submission is waiting. Please see the System Forms Designer Manual for additional information on this setting.
Submission Waiting Notification
This is the initial notification that will send when a submission form has been created, but not yet submitted into the workflow.
Recipient: Principal Investigator and Study Contact
Send Criteria: When a submission form is filled out and completed on a study but not submitted. This means the signoff process has not started and the form is sitting in the study’s Outstanding Submissions queue.
Notification to Study Contacts that the submission is still waiting
This is the reminder notification that will continue to send until the form is submitted into the workflow.
Recipient: Study Contact
Send Criteria: When a submission that is waiting to be submitted has not been submitted within X amount of days.
Project Signoff & Review Notifications
These notifications are related to Key Personnel submission signoff tasks. When a user receives a signoff task, these are the notifications that will send to that user. You can also define reminder notifications that will send to the user when they have not completed their signoff task within a certain amount of time. There are also notifications that can be setup to alert Key Personnel of a submission form that has been created, but not yet submitted.
Project Routing Signoff Notifications
Within the Project Routing Signoff Notifications there are seven separate notifications divided into two groups. The first group of notifications is related to a particular action and the second is related to a particular time frame.
Project Principal Investigator Signoff Notification
Recipient: Principal Investigator
Send Criteria: This notification will send immediately when the PI is tasked with a submission signoff.
Project Notification for Review and Signoff
Recipient: Any Key Personnel or Designated Department Reviewer
Send Criteria: This notification will send immediately when the user on the study is tasked with a submission signoff.
Project Notification of Signoff Denial
Recipient: Principal Investigator and Study Contact
Send Criteria: This notification will send immediately when an assigned user denies a signoff task.
Project Notification for Signoff Removal
Recipient: Principal Investigator, Key Personnel, or Designated Department Reviewer
Send Criteria: This notification will send immediately when the user on the study had been assigned a submission signoff and had received that task, but then is removed from the signoff.
Project Notification Submission Additional Review and Signoff
Recipient: Principal Investigator, Key Personnel, or Designated Department Reviewer
Send Criteria: This notification will send immediately
The second group serves as reminder notifications that will send to users who are not completing their signoff tasks and notifications that will send to Key Personnel alerting them that a user has not completed a signoff task to date.
Project Notification for Signoff Reminder
Recipient: Principal Investigator, Key Personnel, or Designated Department Reviewer
Send Criteria: This notification will send after X amount of days if an assigned user has not signed off in X amount of days.
Project Notification for Signoff Time Exceeded
Recipient: Principal Investigator, Key Personnel, or Designated Department Reviewer
Send Criteria: This notification will send after X amount of days configured if an assigned use has not signed off by X amount of days.
Submission Waiting Notifications
Within the Submission Waiting Notifications there are two separate notifications. Each of these notifications is defined below.
Note: This notification only functions for forms that have the setting “Use Notification on Waiting Submission” within the System Forms Designer, Edit Form Details settings set to “Yes”. If this setting is set to No for a submission form, the notifications will not trigger once a submission is waiting. Project Notification waiting for submission reminder
This is the reminder notification that will send if the submission has not been completed and submitted after X amount of days.
Recipient: Study Contact
Send Criteria: When a submission that is waiting to be submitted has not been submitted within X amount of days.
Special Purpose Forms Signoff & Review Notifications
Notifications associated with the Special Purpose form home screen tasks can be configured under System Administration > List Configuration and Maintenance > System Notifications tab > Special Purpose Forms Signoff & Review Notifications.
Special Purpose Forms Routing Signoff Notifications
This notification is for user(s) that have been added to sign off on submission forms.
Recipient: User(s) added as an approval/deny signature to a form for submission.
Send Criteria: Once the form is signed off by the author.
Special Purpose Form Notification for Review and Signoff
This notification is for when the form is ready for review and signoff. The users who need to submit the form can be directly sent the form.
Recipient: User who has started and completed the form.
Send Criteria: When the form is not submitted but is completed.
Special Purpose Form Notification of Signoff Denial
Recipient: User who completed the form.
Send Criteria: After the form has been denied from the reviewer.
Special Purpose Form Notification for Signoff Removal
Recipient: User who completed the form.
Send Criteria: After the form has been removed from the reviewer (when the form is likely not needed or applicable anymore).
Special Purpose Form Notification for Additional Review and Signoff
Recipient: User who was assigned for additional review and signoff.
Send Criteria: After the form has been approved by the first reviewer, it is not being sent to another for additional review and signoff.
The second group serves as a form reminder notification that will send to users who were assigned additional review and signoff.
Special Purpose Form Notification Reminder for Review and Signoff
Recipient: User who was assigned for additional review and signoff.
Send Criteria: Every X amount of days after the additional review and signoff was assigned.
Special Purpose Form Notification that the selected Reviewer has exceeded their allotted review time
Recipient: User who was assigned for additional review and signoff.
Send Criteria: When the reviewer has not reviewed the form in X days, the allotted time for review.
Training Notifications
Please see the User Training Manual for full details on the configurations, assigning, and setup of User Training within iRIS.
Training About to Expire Notification
There are two notifications you can setup related to user training that is about to expire for a user.
Training About to Expire Notification
This notification is sent to the user whose training is about to expire so that proper care can be taken to update their training. Once a user’s training record is updated with a more current date, this notification will not send.
Recipient: User who’s training is about to expire
Send Criteria: X amount of days before the training record expiration date.
Training About to Expire Reminder Notification
This notification can be configured to remind users that their training is still about to expire, and the information in their account has not been updated to reflect otherwise.
Recipient: User who has expired training
Send Criteria: Every X amount of days after a training record expires and is not updated with a non-expired date.
Training Expiration Notification
The notification is sent to the list of administrators when a user’s training is about to expire so that proper care can be taken to update their training.
Please see the User Accounts Manual for additional information on configuring user’s training records. Also, a previous section of this manual covers setting up training groups and courses.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when the nightly thread picks up any expired training records associated to a user in the system.
Miscellaneous Notifications
The notifications listed in the Miscellaneous Notifications group are specific to reminding users to update their CV, financial disclosures and the ability to setup a notification that will send when a system notification errors out.
Update CV Reminder Notification
A notification can be configured to send out yearly to remind users to update their CV records in the My Account Information.
Please see the My Assistant Manual for additional information on user profile information.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send once a year based on the date selected in the Notification On field within the notification setup.
Financial Disclosure Conflict Notification
A notification can be setup to send to selected recipients based on the indication of a conflict within a submission routing form. Note this notification is not a part of the Conflict of Interest module.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send immediately when a user indicates a conflict within a submission routing form. This notification will only trigger when using the “Current User Study Disclosure” data value.
Define Email Forward for Unprocessed
If the system attempts to send an email notification but that notification has issues with data, this email notification will send to selected recipients to alert them of this unprocessed email.

Equipment Notifications
If you are using Study Equipment records within Study Management, you can configure notifications to send to users when they receive Equipment Inventory and Disposition tasks.
Study Equipment Notifications
Within the Study Equipment Notifications, you can set up two types of notifications that will send to a user based on Equipment activity on a study.
Study Equipment Inventory Notification
Recipient: A user who has been assigned an Equipment Inventory Routing task within Study Management.
Send Criteria: Notification will send immediately when the assignment is made.
Study Equipment Disposition Notification
Recipient: A user who has been assigned an Equipment Disposal Routing task within Study Management.
Send Criteria: Notification will send immediately when the assignment is made.
Finance Notifications
These notifications send to selected recipients to alert of financial and subject related activities on a study.
These notifications are only applicable if your instance of iRIS has the Subject Management module with or without the Finance module configured.
Enrolled 95% of the Approved Enrollment Notification
When the IRB approves a study, they can set a maximum number of enrollments. The system will track the ratio of subjects enrolled on the study compared to the number allowed by the IRB. A notification can be setup to alert when 95% of enrollments have been made on the study.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when 95% of approved subject enrollments have been reached on the study.
Contract End Date Estimation Notification
This notification only applies to instances of iRIS in a multi-site mode. A notification can be defined to send when a study site reaches a contract end date.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when the site status is changed to a status that flags that the contract end date has been reached.
Final Billing Notification
This notification only applies to instances of iRIS in a multi-site mode. A notification can be defined to send when a study site reaches a contract end date.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when the site status is changed to a status that flags that the final billing has been obtained.
All Approvals obtained on Invoice Notification
A notification can be configured that will send when all electronic signature tasks have been completed for a study invoice document. This notification serves as an alert that the invoice can then be sent from the study.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when all assigned users have completed their invoice signoff task in the system.
Protocol Plan Published Notification
A notification can be configured that will send when any study plans are published within a study record. This notification serves as an alert that a budget can then be built based on the study plan.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when any study plan has been published.
New Business Associate Created Notification
A notification can be configured that will send whenever a new record is added in the Business Associate list in System Administration.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when any business associate record is added to the master list.
Cost Center Status Change Notification
A notification can be configured that will send whenever a study account or cost center on a study changes status.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when a cost center on a study changes the status from open to closed or vice versa.
Project Notifications
These notifications are sent to Key Personnel as well as to system administrators, or department administrators, depending on the type of notification to alert of different status changes and reminders in the projects.
Project Status Change Notification
This notification is used to alert the user of the new status change to the grant
Grant Contract Status Change Notification -
Recipient: Any users added to the notification.
Send Criteria: Notification will send immediately after a change to the status of the Grants Contract.
Grants Office Due Date Notification
This notification is used to alert the user of the due date / expiration date and will send the notification X days before then.
Grant Office – Institutional Review Due Notification -
Recipient: Any users added to the notification.
Send Criteria: Notification will send when the due date / expiration date is approaching X days in advanced.
Sponsor Due Notification
This notification is used to alert the user of the due date for the sponsor X days before.
Recipient: Any users added to the notification.
Send Criteria: Notification will send when the due date / expiration date is approaching X days in advanced.
Project End Date Notification
This notification is used to the user that the Grant Contract is ending in X amount of days in advanced.
Grant Contract End Notification
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when the due date / expiration date is approaching X days in advanced.
Project Period End Date Notification
This notification is used to alert the user that the Grant Contract Period is ending X days in advanced.
Grant Contract End Period Notification -
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send when the end period is approaching X days in advanced.
FOA Change Notification
This notification is used to alert the user of a FOA change.
Recipient: Any recipients added to the notification.
Send Criteria: Notification will send immediately after the change has been made.
Project Milestone Occurred Notification
This notification is used to alert the user of a milestone occurrence.
Recipient: Any recipients added to the notification.
