This guide is for administrators changing the status of an approved protocol to On-Hold, Expired, or reinstating an Approved status. Administrators may need to update the status if a protocol if a PI leaves the institution or if a protocol is suspended by the committee.
Changing the Status of an Approved Protocol
- Confirm that the IACUC or IBC Office role is selected.
- In the IACUC or IBC Actions menu, choose Protocol Search.
- There are multiple ways to search for the protocol using the filters. TIP: If you search by PI Last Name Equals, be sure to capitalize the first letter of the last name. The system is case-sensitive.
4. Click to select the protocol and click Change Status.
5. Update the status in the Update the status in the To Status dropdown menu. • Select the appropriate date. The date field defaults to an older date.
- Log a comment in the Reason to Change the Status box.
- Click Finish Change Status.
- If the protocol is Expired or put On-Hold, the protocol will no longer display in the Protocol Actions alert on the homepage, which displays all approved protocols. PIs will not be able to take any actions on expired or on-hold protocols such as submitting amendments, ordering animals, etc.
Important Notes
- No email is sent to the PI when the Finish Change Status button is pressed. If a protocol is put on hold due to a compliance issue, a formal letter from the committee may need to be sent to the PI to notify them of the suspension.
- Only protocols that have been approved can undergo a status change.
- When reinstating the approval status of a protocol previously put on hold, it is important to note that the Status Date does not update the original approval date. The Approval Date will still reflect the original date the protocol was approved.
