How is it decided which co-PD/PIs are included on the RR Personal Data form in Cayuse Proposals?
Not all opportunities include the RR Personal Data form (shown below). However, opportunities that do include the form can report up to one (1) Project Director/Principal Investigator and four (4) Co-Project Investigators.
When you create a proposal (and possibly link subawards to that proposal), you may find that one or more of the Co-PD/PIs included on the RR Personal Data form are not the people you wish to include. The reason this happens is because the PD/PI and the Co-PD/PIs are added to the RR Personal Data form in the order in which they were added to the proposal. (This includes subawards, as well.)
How do I change who is listed on the RR Personal Data form in Cayuse Proposals?
In addition to the order in which personnel are added to the proposal, the "Project Role" of the person on the proposal also determines who is and who is not included on the Personal Data Form. (Only PD/PIs and Co-PD/PIs are included on the form.)
The first Lead PI added to the proposal is automatically added to page one (1) of the RR Personal Data form.
After that, anyone with a Project Role of "Co-PD/PI" is included on the RR Personal Data form up to four (4) Co-PD/PIs. (This is a government imposed limitation.)
If you have a proposal with more than four (4) Co-PD/PIs and you would like to change who appears on the Personal Data form, you can do this by changing the Project Role of the person (or people) on the RR Key Persons form.
- To add a person to the RR Personal Data form, make certain that they have a Project Role of Co-PD/PI.
- To remove a person, temporarily change their Project Role to something other than Co-PD/PI and they will be removed from the form.
Continue to do this until the RR Personal Data form is correct.
Example: Let's say that we have nine (9) key people on our proposal, with the PD/PIs being indicated by pink highlighting and Co-PD/PIs in yellow highlighting. (Remember that the icons next to Cuba Allen, Christopher Berry, and Mickey Harvey indicate that they came from one or more subawards, where they are listed as the PD/PI or Co-PD/PI. Changes made to their Project Roles will need to be done on the subaward.)
Now, on the corresponding RR Personal Data form page 1 (seen above), the PI is showing as Carlee Connet because Carlee was the first PD/PI added to the proposal.
The Co-PD/PIs included on the remaining RR Personal Data form are:
- Dr. Christian Akroyd
- Mr. Christopher Berry
- Dr. Virginia Hopkins
- Mr. Mickey Harvey
In our example, this order is controlled by the order in which the people were added to the proposal.
But let's say we wanted Dr. Lilly Belle to be included on the RR Personal Data form instead of Mr. Christopher Berry.
To do this, we would do the following:
- Make certain that the role of Dr. Lilly Belle is that of Co-PD/PI.
- Temporarily change the role of Christopher Berry to something other than Co-PD/PI and then save the change. (And in this case, because Mr. Berry came from a subaward (note the little symbol of a disk to the left of his name) the project role change would be made on the subaward, not the proposal, and then saved.) The change would automatically migrate to the proposal and Mr. Berry would be removed from the RR Personal Data form, to be replaced by Dr. Lilly Belle.
- Change the role of Mr. Berry on the subaward back to Co-PD/PI and save the change.
So, to review our process, changing who appears on the RR Personal Data form should involve the following steps:
- Consider who should be included on the RR Personal Data form? Determine who should be included on the RR Personal Data form.
- Identify who is currently listed on the RR Personal Data form that should not be included? Determine who should be removed from the RR Personal Data form.
- Change the Project Role to Co-PD/PI for people who should be included and then save your changes.
- Temporarily change the Project Role to something other than Co-PD/PI for people not to be included. Save your changes.
- Remember to check the RR Personal Data form after each change to make certain that the correct people are being included and the incorrect people are being removed. Remember that you may need to make additional changes to personnel that were added prior to the person you are attempting to add to the RR Personal Data form.
- Verify that the correct person(s) has been added to and/or removed from the the RR Personal Data form.
- Change the roles of the people whose roles you temporarily changed back to Co-PD/PI
