The most common cause of a new IDC or indirect cost rate not showing up on a proposal is that the rate was added or changed after the proposal was created. Proposal records do not automatically refresh all applicant organization rate information after the proposal has already been created.
During proposal creation, Proposals (S2S) uses the Principal Investigator and applicant organization information to pull applicable institutional profile data into the proposal. This may include Fringe Rates & Benefits, Escalation Rates, and Indirect Costs (IDC)/F&A rate information.
If those values are changed in the Institutional Profile after the proposal is created, use Re-autofill Applicant Organization to pull the updated information into the proposal.
Before Getting Started
Before using Re-autofill Applicant Organization, verify the following:
- The applicable IDC/F&A rate has been added or updated in the correct Institutional Profile.
- The proposal is associated with the correct applicant organization and Institutional Profile.
- For subrecipient or subaward proposals, the related organization has an Institutional Profile and the required Indirect Cost Types configured.
- Re-autofill may overwrite existing proposal values with data from the Institutional Profile.
How to Re-Autofill
- Find and open the proposal. Click the green refresh button to the right of Enter name of Organization.

Go to the applicant organization section. Click Re-autofill Applicant Organization

- Review the organization, rate, and profile fields that were updated. Save your proposal.
Please note: Please note: Re-autofill may replace manually entered applicant organization information in the proposal with values from the Institutional Profile. This can include organization identifiers, rate information, and other applicant organization fields. Review the updated fields before saving.
