Processing No-Cost Extensions

Below are the steps that Cayuse recommends for processing a no-cost extension in Cayuse SP.

General Process

  • Change the end date on the award
  • Change the end date on the account
  • Add an Event to the award to document the reason for the NCE
  • Change the end date on the project if the NCE changes the end date of the project

Detailed Steps

To change the end date on the award:

  1. Navigate to the Admin menu and select Award Admin.
  2. In the Search By drop-down menu, select Project Number.
  3. Enter the Project Number associated with the award, and then click Search. If you do not know the full Project Number, enter the fiscal year in the first box and leave the second box blank. The fiscal year is formatted as AXX. For instance, A11 is the fiscal year 2011.
  4. Click the project number in search results.
  5. Click the Awards tab.
  6. Click the award number for which the NCE is requested.
  7. On the General tab of Award Administration, enter the new Award End Date.
  8. Enter comments into the Award Notes field if desired.
  9. Click Save Award Details.

To change the end date on the account:

  1. Navigate to the Admin menu and select Award Admin.
  2. In the Search By drop-down menu, select Project Number.
  3. Enter the Project Number associated with the award, and then click Search. If you do not know the full Project Number, enter the fiscal year in the first box and leave the second box blank. The fiscal year is formatted as AXX. For instance, A11 is the fiscal year 2011.
  4. Click the project number in search results.
  5. Click the Awards tab.
  6. Click the award number for which the NCE is requested.
  7. Click the Distributions tab.
  8. Click the account number for which the end date will be extended.
  9. Click Edit Account.
  10. Enter the new Budget End date.
  11. Click Save Account.

To document the NCE using an Event:

  1. Navigate to the Admin menu and select Award Admin.
  2. In the Search By drop-down menu, select Project Number.
  3. Enter the Project Number associated with the award, and then click Search. If you do not know the full Project Number, enter the fiscal year in the first box and leave the second box blank. The fiscal year is formatted as AXX. For instance, A11 is the fiscal year 2011.
  4. Click the project number in search results.
  5. Click the Awards tab.
  6. Click the award number for which the NCE is requested.
  7. Click the Events tab.
  8. Click Add Event.
  9. Enter a Title and Sub Type. Assign the Event to yourself to process it yourself or to someone else.
  10. Click Submit.
  11. Upload any relevant attachments.
  12. Add email correspondence to document that you are making the change.
  13. When finished, click Cancel to close the Document Workflow System screen.

To change the end date on the project (if applicable):

  1. Navigate to the Admin menu and select Award Admin.
  2. In the Search By drop-down menu, select Project Number.
  3. Enter the Project Number associated with the award, and then click Search. If you do not know the full Project Number, enter the fiscal year in the first box and leave the second box blank. The fiscal year is formatted as AXX. For instance, A11 is the fiscal year 2011.
  4. Click the project number in search results.
  5. On the General tab of Project Administration, enter the new Project End Date.
  6. Click Save Project Details.
