Setting Up an IRB Committee

Before scheduling IRB reviews, an administrator must set up one or more committees, add committee members, appoint members to the committees, and schedule meeting dates. Some or all of this data may have already been loaded into Cayuse IRB during deployment of the module. The topics below assume that you are either starting a new IRB or configuring an existing IRB.

Creating Committees

  1. Navigate to the General Management menu and click Manage Committees.
  2. Click View Committees.
  3. Enter a name in the Add a Committee field, and click Add Committee. You must schedule at least one meeting before the new committee can be chosen for a review.

Adding Committee Members

  1. Navigate to the General Management menu and click Manage Committees.
  2. Click Add Committee Member.
  3. Click the magnifying glass to choose a name from Cayuse Backbone. Name, PID, Phone, Email, Mail Code, and Degrees will auto-populate with data from Backbone.
  4. Click Add Member.
  5. Repeat steps 2-4 until all committee members are added.

Appointing Members to Committees

  1. Navigate to the General Management menu and click Manage Committees.
  2. Under Manage Committee Member, select a committee member from the drop-down menu, and then click Edit.
  3. Under Edit Committee Member, select a committee from the Add to a Committee drop-down menu.
  4. Click Add.
  5. Click the calendar icons to enter the dates the member is appointed to the committee (optional).
  6. Check the Alternate or Chair boxes to designate the committee member as an Alternate or Chair (optional).
  7. Click Update. This person can now be chosen as a reviewer for the committee when scheduling a Full Board review.

Deleting Committee Members

  1. Navigate to the General Management menu and click Manage Committees.
  2. Under Manage Committee Member, select a committee member from the drop-down menu, and then click Edit.
  3. Under Edit Committee Member, click Delete to the right of each committee to which the person is appointed. Click OK to confirm deletion from each committee.
  4. Under Edit Committee Member, you will see the person's name displayed in light blue text with an Edit | Delete choice. Click Delete.
  5. Click OK to confirm deletion of the committee member.

Scheduling Meetings

  1. Navigate to the General Management menu and click Manage Committees.
  2. Click View Committee Dates.
  3. Select a committee from the list, and then click View Dates.
  4. To the right of the empty date field, click the calendar icon to enter a new date.
  5. Click Add New Date.
  6. Repeat steps 4-5 to schedule additional meetings. You will now be able to create an agenda and minutes for the chosen committee, as well as schedule a review for the chosen committee.

Rescheduling and Canceling Meetings

  1. Navigate to the General Management menu and click Manage Committees.
  2. Click View Committee Dates.
  3. Select a committee from the list, and then click View Dates.
  4. You may reschedule or cancel a scheduled meeting:
    1. Rescheduling a Meeting: If a meeting for which agenda items have already been assigned must be moved to a different date, you must reschedule the meeting. If you reschedule the meeting for a committee date that already exists, Cayuse IRB will automatically combine the agendas into a single agenda for that date. Click the calendar icon to the right of the date to be rescheduled to select a new date. Click Update when finished.
    2. Canceling a Meeting: If there are no agenda items for a meeting, it can be canceled. Click Delete to the right of the desired date. If the Delete button is grayed out, please refer to the instructions above for rescheduling a meeting.
